 ASA Security Whistleblowing Policy

1. Purpose

This Whistleblowing Policy is established to encourage employees, contractors, guards, supervisors, management, clients, and third parties to report any unethical, illegal, or suspicious activities within the company without fear of retaliation.

The company is committed to maintaining the highest standards of integrity, professionalism, and accountability.

 

2. Scope

This policy applies to:

-             All employees (management, supervisors, and security guards)

-             Contractors, consultants, and vendors

-             Temporary staff

-             Any individual who interacts with the company’s operations

 

3. What Should Be Reported?

Whistleblowing concerns may include, but are not limited to:

-             Fraud, theft, or financial misconduct

-             Breach of security protocols or company procedures

-             Abuse of power or authority

-             Bribery, corruption, or unethical behavior

-             Serious workplace safety violations

-             Gross misconduct by any staff

-             Harassment, discrimination, or intimidation

-             Unauthorized disclosure of confidential information

-             Any activity that may damage the company’s reputation or contravene the law

 

4. Reporting Channels

Reports may be made through any of the following confidential channels:

 

-             Whistleblowing Email: complaints@security-asa.com

-             Hotline/Phone Number: 080568972222

-             Anonymous Suggestion/Complaint Box located in the reception area of the office.

 

Direct Reporting to:

-             Human Resources

-             Compliance/Investigations Officer

-             Managing Director (for serious matters)

 

The company encourages whistleblowers to provide as much detail as possible.

 

 

5. Confidentiality and Anonymity

Reports may be made through any of the following confidential channels:

-             All reports will be handled confidentially.

-             Whistleblowers may choose to remain anonymous.

-             Information will only be shared on a strictly need-to-know basis

 

 

6. Confidentiality and Anonymity

The company strictly prohibits retaliation against any whistleblower who reports concerns in good faith.

 

This includes protection against:

-             Termination or demotion

-             Harassment or intimidation

-             Unfair treatment or discrimination

-             Any employee found retaliating will face disciplinary action, up to and including dismissal.

 

 

7. Investigation Procedure

Upon receiving a report:

 

-             The Compliance/Investigations Officer logs the report and acknowledges receipt (unless anonymous).

 

-             A preliminary review is conducted.

-             A formal investigation is initiated if the allegation is credible.

-             Findings are reviewed by senior management.

-             Corrective actions or disciplinary measures are taken where necessary.

-             The whistleblower is updated on the outcome (where possible).

-             All investigations will be conducted promptly, objectively, and fairly.

 

8. False or Malicious Allegations

Deliberately false, malicious, or misleading reports are not tolerated and may result in disciplinary action.

 

9. Responsibilities

Management: Ensure awareness and enforcement of this policy.

 

Employees: Report any misconduct and cooperate with investigations.

 

HR/Compliance: Maintain reporting channels, conduct investigations, and protect whistleblowers.

 

 

10. Review of Policy

 

This policy will be reviewed annually or when necessary to reflect changes in legal or operational requirements
